Orlando Faculty Staff Secretary
TYPE: Part-time, 20-hour/week, Non-exempt
LOCATION: Orlando Campus (position works on-site)
SUMMARY: Responsible for delivering administrative and operational support to full-time faculty
members at the Orlando Campus. Provides a wide array of services that support the
success of the entire staff at the Orlando Campus.
RESPONSIBILITIES:
Performs office duties to support the full-time faculty and staff members
- Answers phone calls and provides information to callers
- Records minutes for faculty meetings
- Assists faculty with course material preparation
- Maintains knowledge of Orlando campus degree programs
- Maintains sufficient level of office supplies
Performs faculty services to provide administrative support to the full-time faculty
and staff members
- Maintains confidentiality of all student information and files
- Coordinates with internship faculty about helping recent graduates prepare letters
for state registration
- Makes arrangements for conferences and speaking engagements
- Maintains current copies of syllabi for each course, each semester
- Provides important reminders to faculty regarding enrollment verification, syllabi
communication, course evaluations, and final grade entry
- Provides administrative support for study abroad trips
- Prepares faculty interview day for new counseling candidates
- Prepares POs for office supplies, expense reports, and purchasing cards
- Maintains records for bank statements
- Provides general administrative support for faculty and staff as needed
Perform duties associated with campus wide activity
- Assists in planning campus visit days, orientation events and welcome week activities
- Assists in maintaining the campus classroom cleanliness and order of campus classrooms
- Contacts and works with outside vendors as required
QUALIFICATIONS:
- Proven excellent interpersonal and analytical skills.
- Proven experience as a self-starter, working in a team environment, and the ability
to perform duties and work independently is required.
- Must be organized and have exceptional verbal and written communication skills.
REQUIREMENTS: Bachelor’s degree is preferred but not required. Two years of related experience
is required.
