Donor Relationships Coordinator - Advancement

TYPE:   Full-time, Non-exempt

LOCATION: West Palm Beach Campus

SUMMARY: Assists with the coordination and facilitation of philanthropic initiatives and donor relations at the university. Provides support in all campaign-related initiatives matters related to fundraising and donor relations through engagement and stewardship.



  • At the direction of the AVP of Development, support campaign-related and development activities as needed including but not limited to creating donor proposals, agreements, pledge forms, and ensuring appropriate tracking in the donor CRM system.

  • Collaborate with and anticipate the needs of the Development team on fundraising marketing materials including but not limited to campaign-related materials and donor proposals.

  • Serve as project manager and liaison with the Marketing department to ensure the timely and accurate communication of mutual needs. 

  • Request mailing/email lists from the Gift Services Coordinator at the direction of the Associate Vice President of Development and ensure data integrity and donor segmentation are accurately reflected. Accurately track list updates and notifying key team members of important updates. 

  • Request and receive updated donor society lists and communicate new additions/lapsed donors to the Marketing department on a monthly basis in collaboration with the Associate Vice President of Development and Gift Services Coordinator.

  • Request donation forms from the Gift Services Coordinator at the direction of the Associate Vice President of Development according to the needs of departments and current fundraising goals.

Donor Relations

  • Create and oversee the donor relations stewardship initiatives. 

  • Responsible for the execution of donor impact reports (financial reporting, copywriting, impactful storytelling, and design) and endowment letters. 

  • Assist with the collection and sending of donor stewardship touches including student thank you notes as well as special gifts for ongoing stewardship.

  • Primary to coordinate student involvement for donor meetings and events, ensuring appropriate details concerning location, time, attire, etc. are all clearly communicated and understood by the student. 

  • Responsible for supporting donor events including but not limited to Philanthropy Day, Women of Distinction, and American Free Enterprise Day, and special receptions from a donor relations perspective. 

  • Collaborate with the Associate Vice President of Development on donor gift needs including but not limited to anticipating departmental gift needs for events and donor meetings, ordering gifts, and maintaining an accurate inventory.

  • Responsible for compiling welcome kits for all giving societies and maintaining a distribution list in collaboration with the Associate Vice President of Development and frontline fundraisers. Ensure that society members are communicated with and engaged at appropriate moments throughout the year. 

  • Assist with the donor thank you letters, as needed.


  • Proven excellent interpersonal and analytical skills.
  • Proven experience as a self-starter, working in a team environment, and an ability to perform duties and work independently is required.
  • Must be organized and have exceptional verbal and written communication skills.
  • Excellent project management and attention to detail while maintaining multiple deadlines.
  • Copywriting and design is a plus.

EDUCATION AND EXPERIENCE: A Bachelor’s degree (B.S. or B.A.) in a related field from an accredited institution and three plus years’ experience is required.
